Getting started with Dawam
A short guide for the first week: setting up the business, making the schedule, and what employees do each day. Dawam works on a computer, tablet or phone, in Arabic or English.
Owner: set up the business (about 20 minutes)
- On the home page press "Manager login", then "New here? Create an account". Enter the business name, city and industry, your email and a password. You become the business owner.
- Workplaces: click the map to drop a pin at the workplace entrance (or press "Use my current location"), set the "Allowed distance", give it a name and, if you like, an address, then save. Employees can only clock in when their phone is within that distance.
- Employees → Tags: add a tag for each role, like Cook or Cashier ("Add tag"). Every shift needs a role, and only employees with that tag can work it.
- Employees → Add employee: enter the name, phone number and a 4-digit PIN, and click the roles and workplaces this person works. Give them their phone number and PIN to sign in.
- Settings: check the business name, city and industry.
- Settings → Backup: press "Download a backup" once a week and keep the file somewhere safe. The Today page reminds you when it's due.
- When someone leaves, press "Archive" next to their name on the Employees page. They can't sign in any more and their upcoming shifts become open shifts, but their hours stay for payroll. You can restore them later from "Archived employees".
- Optional: to let someone help you schedule, press "Make scheduler…" under their name on the Employees page, then "Copy link" and send it to them. They open it and create their own manager login with their email and a password.
Managers and schedulers: making the schedule
- Schedule → Add shift: choose the Role and Workplace, then the employee (only people with that role and workplace are listed) or "Open shift (no one yet)", then the date and the start and end times. You can add a note.
- Repeat: choose "Every week on these days" for a regular pattern. Dawam creates those shifts by itself, four weeks ahead.
- New shifts are drafts that employees can't see yet. When the week looks right, press "Publish". A list of every draft opens so you can check them; tap one to change it, then press Publish again.
- Click any shift to change its day, times, role, workplace or note, to "Reassign to" someone else, to "Move to open shifts", or to "Delete shift". You can also drag a shift onto another person's row on the same day.
- Tools: "Copy this week to next week", and "Auto-fill open shifts", which suggests who could take each open shift.
- The grid shows each employee's availability, and a ⚠️ warns you when a shift falls outside it.
- Requests: when an employee asks to drop a shift, or two employees agree to swap, it waits here marked "Needs your approval". Press Approve or Reject.
- Today: see who is working, late or missing right now. If someone can't clock in, you can clock them in or out yourself.
- Timesheets: hours worked for every shift. Press "Edit" to fix a clock-in or clock-out time, "+ Add hours" for work that wasn't scheduled, and "Download for Excel" for payroll.
- Notifications: on the Requests page, press "Turn on notifications" to hear about new drop and swap requests on this device.
Employees: every day
- Open Dawam and press "Employee login". Sign in with the phone number and PIN your manager gave you.
- Home shows your next shift. When you arrive, press "Clock in". A small window opens where you can add a note, then confirm. Your phone checks that you are at the workplace.
- Press "Clock out" when you leave, and "Clock in again" if you come back from a break before the shift ends. Your hours add up every period.
- No internet? Clock in anyway. Dawam saves the time on your phone and sends it as soon as you are back online. Open the app again once you have internet.
- Schedule: switch between "My shifts", "All shifts" (who else is working) and "Open shifts". Tap one of your shifts to Drop or Swap it. Your manager approves; for a swap, your coworker accepts first.
- Open shifts are shifts nobody has yet that fit your roles and your time. Press "Pick up" to take one; it is yours straight away.
- Availability: press "Add availability" to tell your manager when you can or can't work, for example every Friday, or only evenings.
- My hours: the hours you worked each week.
- Install the app: on Android press "Install" on the banner. On iPhone, open Dawam in Safari, tap Share, then "Add to Home Screen". Then press "Turn on notifications" to hear about new and changed shifts.
Who can see what
- Owner: everything, including Settings, Workplaces and backups.
- Scheduler: the schedule, Today, Timesheets and Requests; can add employees and give them roles and workplaces. Can't change Settings or Workplaces, or edit or archive employees.
- Employee: their own shifts, hours and availability, and the published schedule of the business (names, times, roles and workplaces). Employees don't see coworkers' phone numbers or hours.
- Draft shifts are only seen by managers until they are published.
Good habits
- Each manager uses their own login. Don't share passwords or PINs, and sign out on shared phones and computers.
- Download a backup every week (Settings → Backup).
- If something goes wrong on screen, Dawam records the error automatically so it can be fixed. Press "Try again" or reload the page.
